Tax Administrator

Our firm is seeking a Tax Administrator to work closely with internal departments and external tax professionals to ensure timely and accurate tax filings and to address any tax-related issues that arise. This individual will be responsible for providing a wide variety of administrative tasks to support the various partners, departments and industry teams.

Responsibilities:

  • Uses software to coordinate, process and track a variety of in-coming and out-going documents including but not limited to tax returns, e-file acknowledgements, extension filings, notices, mailings, organizers, responses, payroll, engagement letters, and planning guides.
  • Provides administrative services to all Principals, departments and industry groups which include drafting general correspondence, generating reports, taking minutes at meetings, etc.
  • Types and proofreads engagement letters, proposals and other correspondence as needed.
  • Arranges for in-Firm meetings, conference room arrangements and reservations, equipment needs, food and beverage service, registration; ensures meeting room is returned to its original layout and in a neat and organized manner.
  • On behalf of Principals, contacts clients, potential clients, prospects and referral sources to assist with communication regarding information, appointments, etc.
  • Prepares and posts mail and packages per procedures. Coordinates delivery to ensure timely receipt.
  • Makes travel arrangements for Principals and staff upon request.
  • Maintains the physical and electronic filing systems according to established policies and procedures.
  • Serves as relief receptionist as necessary.
  • Inventories office supplies, publications and subscriptions. Notifies appropriate person when orders are necessary.
  • Provides client copies of tax returns and planning reports.
  • Recommends improvements and implements administration department procedures and systems. Documents procedures and systems to establish firm standardization.
  • Attends education and compliance seminars as necessary.

Qualifications:

  • Associate’s degree in office administration or its equivalent in experience.
  • At least 2 years administrative/secretarial experience in a professional services firm such as: law firm, accounting firm, or financial institution.
  • Previous experience in processing of tax returns preferred
